Information a traveler may provide
The planning inquiry is designed to collect first and last name, email address, phone number when supplied, preferred contact method, destination interest, desired dates or flexibility, departure airport, traveler counts, children’s ages when applicable, room count, resort style, occasion, airfare preference, a proposed budget range, trip notes, and a required privacy acknowledgement.
Do not submit sensitive medical, financial, passport, payment-card, or other information that is not requested by the form.
02 · Purpose
How inquiry information is intended to be used
Information submitted through the production inquiry form is intended to be used to respond to the travel-planning request, understand the trip, communicate about relevant options, and support the advisor-client planning conversation. The website emails each validated inquiry to the configured BookTravelBug recipient. The project plugin does not save inquiry submissions as WordPress content or custom database records.
No newsletter or marketing subscription is included in this Phase 1 form.
03 · Delivery & providers
Form delivery and service providers
Validated inquiries are sent with the WordPress email service to jeremy.mcquinn@fora.travel. The hosting and email-delivery providers may process technical delivery data; the owner should confirm those providers and their retention practices before publication.
Owner action required: identify every provider that receives, processes, stores, or logs inquiry information.
04 · Retention
How long information is kept
The project plugin does not retain inquiry submissions in the WordPress database. If a no-JavaScript submission has an error, sanitized form values may be held for up to 10 minutes in an encrypted HttpOnly browser cookie so the traveler can correct and resend the form. Email copies, hosting or mail-service logs, backups, and advisor planning records may have separate retention periods that the owner must confirm before publication.

Contact about personal information
Travelers may contact jeremy.mcquinn@fora.travel to ask a privacy question or request review, correction, or deletion where applicable. This starter policy does not claim any particular statutory certification or legal regime.
07 · Children
Children’s information
The website is intended for adults planning travel. A parent or guardian may include children’s ages only when relevant to a family-travel inquiry. Children should not submit the form directly.
08 · Security
Security limits
The inquiry handler uses WordPress nonces, a honeypot, strict server-side validation, bounded rate limiting, encrypted short-lived browser error recovery, and email-only delivery after validation. No online transmission or storage method can be represented as completely secure, and the owner must confirm the live hosting and email safeguards before publication.
09 · Updates
Changes to this policy
The published policy should display an effective date and be updated when the website, inquiry process, providers, retention practices, or legal requirements change. An effective date is intentionally omitted from this review draft.
